| Reduce Fraud = Money Saved |
| Whether you do business online, over the phone, through the mail or face to face, security is an important priority. Undetected fraud can result not only in loss of goods and services, but also chargebacks. Criminals are hoping you won’t notice they are trying to defraud you. Being vigilant about unusual spending can be your first line of defense. Regularly train employees on how to detect potentially fraudulent transactions. Below are advice and tips on how to prevent fraudulent transactions. |
| Transactions in Person |
| • |
Never process a refund on a check until the check has cleared. |
| • |
Refrain from refunding a credit card transaction by other means such as cash, check, or bank transfers. Always refund back to the card that was charged not to an alternate card. |
| • |
Examine the card. Numbers should not appear re-embossed, crooked or unevenly spaced. The signature panel should not be taped over, mutilated, erased or painted over. The magnetic stripe should not appear to be deliberately scratched or destroyed to force manually keying of the Card Number. |
| • |
Be suspicious of customers who buy large quantities of expensive merchandise without regard to size, color or product features. |
| • |
Be wary of a customer who comes in frequently to make small purchases with cash, and then returns to make additional purchases of very expensive items with a credit card. |
| • |
Don't process transactions for a customer who does not present a Card, but cites the Card Numbers from memory, a slip of paper, an old charge slip, photo or fax copy. |
| • |
Make sure the signature on the sales receipt matches the one on the back of the card. |
| • |
Make sure numbers on the front of the card match the last four numbers on the receipt. |
|
| Internet transactions |
| • |
Be wary of unusually large orders from customers. |
| • |
Be skeptical of orders shipped to a single billing address but purchased with multiple credit cards, especially multiple transactions made with similar card numbers in a sequence. |
| • |
Be watchful of those who ask for express, rush or overnight shipping because these are the shipping of choice for many credit card fraudsters. Merchants need to call the customer to confirm the order first. |
| • |
Do not process credit card orders that originate from free e-mail addresses or from e-mail forwarding addresses. Ask the customer for an ISP or domain-based e-mail address that can be traced back before processing the order. |
| • |
Be suspicious of misspellings. Legitimate customers usually make a point of spelling their name correctly, while criminals often carelessly fill out hundreds of forms a day. |
| • |
Be cautious of international orders, especially if you have never done business with that company or person before. |
| • |
Never refund a credit card transaction by other means such as cash, check, or bank transfers. Always refund back to the card that was charged. |
| • |
Do not process credit card orders unless the credit card information of that customer is complete. If the shipping address and the billing address on the order are different, merchants need to call the customer to confirm the order. Merchants may even want to make it a policy to ship only to the billing address on the credit card. |
|
| If you feel that a transaction is suspicious it is best to contact the credit card issuer. You can also call NTC Texas directly for information for the telephone number of the issuing bank. |

| TECH TIP |
| AVS: Protect Yourself and Your Customers |
The AVS (Address Verification System) is not something that can be purchased, it is part of a processing network. AVS allows merchants to enter in specific customer details such as address and zip code in order to make the transaction more secure, therefore qualifying for lower rates. Merchants accepting online, phone, or mail transactions should always use AVS. |
| By using the Address Verification System, you can protect yourself and your customers from fraudulent charges. AVS will verify whether the address provided by the cardholder matches the billing address. AVS keeps a transaction from downgrading (qualifying at a higher rate) to a Non-qualified Transaction. |
